Separate owned stock from consigned pairs in your records

Record consigned pairs separately from pairs you own, and keep each record tied to its physical unit. The available evidence confirms inventory and listings can be viewed together, but does not establish ownership tags or consignment-specific accounting features.

Start with one record for each physical pair

For each pair, write down its style code, size, location and whether you own it or hold it for someone else. Use a separate spreadsheet column or a clear note if your inventory tool has no confirmed ownership field.

Give the pair a reference you can match to its box and listings. A style code and size identify the product, but they may not identify one particular physical unit when you have duplicates.

Keep consigned pairs out of any total you use to describe stock you own. This is a recordkeeping check, not a claim about accounting or tax treatment.

Check the pair before creating or linking listings

  1. Input: the physical pair and any paperwork or notes that came with it. Check: style code, size, condition and who owns it. Do: record the result against the pair’s reference before listing.
  2. Input: each live or planned marketplace listing. Check: that its style code, size and photos match the physical pair. Do: link the listing to the correct unit where your system supports linked listings; otherwise, record the listing reference beside the unit.
  3. Input: your owned-stock count and consigned-pair list. Check: that each physical pair appears in the right group, without counting one pair twice. Do: correct the records before relying on the totals.

A pair can have several linked listings. Listing count is not stock count. Do not remove valid cross-listings just because one unit appears on more than one marketplace.

RestocksAIO describes inventory and listings as separate views and says the same SKU can link across marketplaces. That does not establish an ownership-type tag. For general listing and stock workflows, see the multi-platform selling playbook.

Review sales and payouts without changing ownership assumptions

When a sale appears, match it manually to the pair’s style code, size and unit reference. Check the marketplace sale record and whether the sale is confirmed and unfulfilled. Keep a consigned pair identified as consigned in your own records.

Then check whether sibling listings were removed or updated where the relevant workflow supports that action. Do not assume every marketplace listing was cleared automatically. The documented Auto Delist function covers eligible tasks, so verify the result rather than treating it as universal.

Record payout status separately from ownership: mark what is paid or pending only when you can verify it against the available sale or payout information. Do not invent a consignor split or settlement rule from a marketplace payout status.

A completed payout or shipment does not make a sold pair available again. Restore availability only after a confirmed cancellation or after a returned pair is physically received and checked.

Use automation only for the steps it supports

Inventory tools can show owned stock alongside live listings, and supported workflows can link listings to units. Sale and payout tracking can show sales, payment status and shipment information. These functions do not, by themselves, prove who owns a pair or define how a consignor should be paid.

Use automation for supported listing, sale and document tasks, then manually check ownership, unit identity and any consignment agreement you hold. Keep that agreement and your ownership notes as the authority for your arrangement; do not assume software creates or applies consignor terms.

At review time, compare the shelf, unit records, live listings, confirmed unfulfilled sales and payout status. Investigate mismatches one pair at a time before changing a record.
