How to match marketplace payouts to sales and investigate gaps
Match payout records to the sales they cover using each sale’s marketplace, amount, date and reference details. RestocksAIO tracks sales and paid or pending status, but you must compare external deposits with your bank records yourself.
Separate sales, stock and payout status
Start with the marketplace payout statement or transaction details you can access, plus your recorded sales and bank activity. These are separate records: a sale shows an order, a payout record shows platform payment details, and a bank entry shows a deposit.
RestocksAIO’s Sales & Payout Tracking includes Account Sales from platforms and Inventory Sales from your stock. It also lets you mark payment as paid or pending. Use those fields to track the sale’s recorded status; don’t treat them as proof that an outside bank deposit matched.
Stock status is separate again. A paid sale does not make its unit available for sale. Keep the unit committed unless the sale is cancelled or a returned item is physically received and checked.
Match each payout against recorded sales
Use this practical workflow for each payout period. First, choose the date range shown in the platform’s payout details, and note the platform and any payout reference or batch identifier provided there.
- Gather the input. Open the platform’s available payout or transaction details, the related recorded sales, and your bank activity. If a statement does not show which sales it covers, don’t assume the deposit equals one sale.
- Compare the sale details. For each payout line, check the marketplace, sale reference, date and amount against the matching recorded sale. Check any fee or adjustment shown in the platform details separately; don’t silently treat it as another sale.
- Record the result. When the details match, mark the sale paid in your tracking record and note the payout reference. When the platform shows payment but the bank entry is not yet identifiable, keep the case open and record what you checked.
- List exceptions. Write down payout lines with no matching sale, sales absent from the payout details, and amount differences. Include the sale reference, expected amount from the platform record, observed amount, date range and what evidence is missing.
- Follow up with evidence. Use the marketplace’s available support route for unresolved platform records. Provide the sale and payout references, dates and amount comparison. If the platform record appears complete but you cannot identify the bank entry, check with your bank using the deposit details available to you.
These are manual comparison steps. RestocksAIO can track sales and paid or pending status, but the available product information does not establish automatic matching of external bank deposits to marketplace sales.
Keep unmatched amounts open
Don’t mark an amount paid just because a payout was expected, or because the totals seem close. Keep the affected sale or payout item pending until you have evidence that supports the match. Record the date of each check and the next person or team you contacted.
If one payout covers several sales, match the individual lines where the platform provides enough detail. If it provides only a combined amount, record that limitation and keep the individual sales unresolved rather than assigning the total without support.
A matching total alone is not a line-by-line match. Keep the platform details and bank entry distinct in your notes.
For the wider daily routine, see how to keep owned stock, listings, payouts and documents in agreement.
Review the open items before closing
At the end of your review, compare the number of recorded sales marked paid with the sale details you matched. Keep pending items visible, with their references and next action, so another person can continue the check without repeating it.
Do not use payout completion, paperwork or fulfilment as a reason to release a sold unit. Restore availability only after a confirmed cancellation or a physically received and checked return.
