Prepare a batch of sold pairs for shipping

Prepare each shipment from a confirmed sale and the physical pair it names. Keep the sale, label, documents and delivery proof linked; a batch is a work queue, not a new stock count.

Start with confirmed sales and the physical pairs

Build the batch from confirmed, unfulfilled sales, then match each sale to its physical pair before packing. The number of live listings is not the number of pairs sold: one owned unit may have several linked marketplace listings.

Use a pick list with the sale reference, marketplace, style code, size, shelf location and current fulfilment status. Compare each entry with the box label and the pair inside. If the style code, size, condition or sale reference does not match, stop that pair and check the original sale record.

Do not count payout or completed paperwork as permission to reuse a pair. Keep a sold unit unavailable unless its sale is confirmed cancelled, or a return has physically arrived and been checked. For the broader daily control, see the daily reconciliation workflow.

Use this checklist to prepare the batch

Work from the sale record to the box, not from a pile of boxes to an assumed order. Mark each step against its sale reference so another person can see what is ready and what still needs attention.

  1. Match the sale. Check the marketplace sale reference, style code, size and confirmed status against the physical pair. Set aside any mismatch.
  2. Check the destination and deadline. Read the sale details and the marketplace instructions available to you. Record the ship-by date or other stated deadline; do not guess a platform rule.
  3. Prepare the sale documents. Create the invoice or other required document from the correct sale and business details. Check the buyer or transaction details, date and applicable business profile before saving it.
  4. Create and check the label. Use the carrier and delivery details shown for that sale. Compare the label recipient and parcel with the sale before attaching it.
  5. Pack one pair per matched sale. Keep the sale reference with the parcel while packing. Check that the shoe size and condition match the sale, then record the parcel or tracking reference where available.
  6. Record handover. Mark the parcel as handed to the carrier only when it has actually been collected or accepted. Keep the pickup or drop-off evidence with the sale.
  7. Save delivery proof. When available, retrieve proof of delivery and link or file it with the sale reference. If it is missing, leave the case open and follow up with the carrier or marketplace.

Separate manual checks from automation

Automation can help create labels from confirmed sales, link label workflows to pickups and proof of delivery, and support bulk proof-of-delivery downloads. RestocksAIO also supports UPS and DHL pickup scheduling. Check the current sale, carrier and account details before using those functions.

People still need to verify the physical pair, its size and condition, the parcel contents, and whether the carrier has actually taken the box. A generated label does not prove dispatch. A scheduled pickup does not prove collection. A completed sale does not prove delivery.

For each batch, write down what the system generated and what a person checked. If a label fails, a sale is absent, or the parcel details do not match, hold that shipment and resolve the exception before handover. Review the label and proof-of-delivery workflow for the separate shipping stages.

Close the batch without reopening stock

After handover, compare the batch list with the parcels the carrier accepted. Mark only those parcels as dispatched, using the tracking or handover evidence available. Keep parcels awaiting collection in a separate, clearly marked queue.

When delivery evidence appears, attach it to the matching sale rather than filing it only by shipment date. If the evidence does not identify the parcel clearly, use the sale reference and tracking details to check the match before closing the record.

Keep each sold pair unavailable after payout, invoicing, dispatch and delivery. Restore availability only after a confirmed cancellation or a return physically received and checked.
